Privacy Policy

KeyHunter is operated by Jesse Kelly, an individual located in Oklahoma, United States. This policy describes what the KeyHunter private beta at thekeyhunter.com actually does today. It is an operational beta document; it is not attorney-approved and is not a guarantee of legal compliance. The private beta is offered only to people located in the United States who are 18 or older, so this policy does not claim GDPR or global compliance.

Information KeyHunter collects

Account information

  • email address and authentication identifiers;
  • login and session information;
  • Google authentication information if you sign in with Google;
  • an optional display name and optional collector interests;
  • acknowledgement timestamps: minimum age, the whiskey 21+ acknowledgement, and your recorded acceptance of the Terms and Privacy versions;
  • Founding Collector records — whether you qualified, your number and when.

Collection information

  • collectible records: title, category, year, manufacturer, set, item number, variant;
  • quantity, Vault, Hunt List entries and catalog relationships;
  • grading company, grade, certification number and condition information;
  • your personal notes.

Financial-like collection information

  • purchase price you enter and purchase date;
  • estimated value you enter.

KeyHunter does not collect payment-card information, because there is no subscription or payment feature in this beta.

Technical and usage data

  • IP address, device and browser information contained in requests handled by the hosting, authentication and database platform;
  • authentication and security logs, and error logs;
  • first-party product analytics events (page views, signup steps, scan starts and outcomes, feature use) with timestamps, stored in KeyHunter's own database;
  • scan usage counts per account, used to enforce beta scan allowances;
  • UTM parameters present in a link you follow, used to see which channel brought you.

Analytics events recorded before you sign in are tied to a browser-level identifier stored in your browser; once you sign in they are associated with your account identifier. We therefore do not describe them as anonymous. There are no advertising trackers, ad networks or third-party marketing pixels.

Cookies and local storage

KeyHunter uses browser storage only for authentication and session handling, security, your interface preferences (such as the last tab you used) and the first-party analytics identifier described above. There are no advertising or cross-site tracking cookies, so there is no advertising consent banner.

Photographs

Photographs you upload are stored privately, in storage keyed to your account, and are shown back to you through short-lived signed links. They are not made publicly available by KeyHunter, are not published on the web, and are not shown to other collectors. They are not turned into shared catalog images.

Photographs are processed for collectible identification when you start a scan, and may be transmitted to service providers that perform the necessary technical or AI processing. Photographs you simply attach to an item are not sent to an AI provider.

AI processing

When you use AI Scan or Bulk Scan, the images you selected and relevant collectible information are transmitted through KeyHunter's server to third-party AI and infrastructure providers so they can perform identification, metadata extraction and the processing needed to return your scan results. Those images leave KeyHunter's own storage and are handled under the provider's terms. Provider credentials remain on the server and are never exposed to your browser.

KeyHunter has not contractually verified what those providers retain, and does not claim they retain nothing. KeyHunter does not itself use your images to train AI models.

Feedback

Feedback you send through KeyHunter — the message, the page you were on and your account reference — is stored and reviewed to troubleshoot bugs and improve usability, features and the beta generally. Private feedback is not published.

How KeyHunter uses information

  • provide and operate KeyHunter and authenticate you;
  • store and manage your collection, Vaults and Hunt List;
  • process AI scans and match catalog records;
  • maintain Run, Set and Hunt List completion tracking;
  • generate deterministic Collection Intelligence from your own data;
  • secure the service, prevent abuse and enforce scan limits;
  • troubleshoot problems and communicate with you about your account or the beta;
  • comply with law.

Information is not used for advertising.

Sharing

Personal information is disclosed to service providers only as reasonably necessary to operate KeyHunter — hosting, authentication, database and storage, AI processing, and security or error reporting. That is processing by providers on KeyHunter's behalf, not a sale. KeyHunter does not sell users' personal information, does not act as a data broker, does not sell data for targeted advertising, and does not give dealers access to individual collection behaviour. Information may also be disclosed where required by law or to protect the service against abuse.

Market Observations

KeyHunter's Market Observations infrastructure is disabled during this private beta. No external market prices are ingested, no pricing website is scraped, no automatic valuation is produced, historical purchase prices are not silently converted into market observations, and user transaction history is not exposed. Enabling any of that would require its own explicit consent review.

Catalog lookups

When KeyHunter looks up catalog metadata it sends only the bibliographic details needed to identify an item — such as series or card name, publisher or manufacturer, year, set and issue or card number. It never sends your name, email, account identifier, Vault, prices, notes or photographs. See Data Sources & Attribution.

Your choices

  • edit or delete individual holdings and photographs at any time;
  • export your collection to CSV from Settings;
  • delete your account from Settings;
  • contact privacy@thekeyhunter.com with a privacy question or request.

Where applicable under law, you may have additional rights regarding your personal information. Contact privacy@thekeyhunter.com and KeyHunter will respond where applicable under law.

Retention and deletion

Information is retained for as long as reasonably necessary to provide the service, secure it, comply with legal obligations and resolve disputes. When you delete your account, information is handled through KeyHunter's existing deletion process, which removes your profile, collectibles, uploaded photographs, scan history and any contribution records. Limited residual copies may persist temporarily in backups, infrastructure logs and security systems, and content already transmitted to an AI provider during a scan is subject to that provider's practices.

Security

KeyHunter uses reasonable technical and organisational safeguards, including authentication, access controls, database row-level security scoped to your account, private photo storage with short-lived signed links, and server-side authorisation for privileged operations. No service can be guaranteed completely secure, and KeyHunter does not claim to be.

Age and eligibility

The KeyHunter private beta is intended only for United States residents aged 18 or older, and KeyHunter does not knowingly permit children to participate. Whiskey cataloguing additionally requires confirming you are 21 or older; KeyHunter records only the fact and time of that acknowledgement and does not collect a date of birth. If you believe an ineligible person has an account, contact privacy@thekeyhunter.com.

Changes to this policy

This policy may change and each version carries a version identifier. The version you acknowledged is recorded with your account. For material changes, KeyHunter may require you to review and accept the updated documents before continuing to use the service.
